Who does what when? Whether it’s a short-term project, organizing workflow across departments, or streamlining operations throughout an entire organization, documenting who, what, when, and how can increase your success dramatically.
Process documentation may sound tedious and time consuming, but we’re here to tell you that it is never a wasted effort! Instead, it provides a blueprint for efficiently accomplishing a task, improving communication, and facilitates formal training.
Documenting how people work can improve your business operations by creating teachable and repeatable processes so that you can onboard new employees quickly, optimize efficiency, and support knowledge transfer and retention. Read how our work with a client allowed them to meet deadlines, create efficiencies, improve communication, and more.
The Task
While working with a fabrication shop in documenting job tasks for an office administrative position, the shop began a short-term project. Because the project’s work scope was broad, the client requested our assistance in documenting the workflow (what they needed to do) and work instructions (how to do the work). The workflow and work instructions would ensure consistent completion of job tasks and provide a means for traceability of project details.
The Action
Theresa and the Success Trek team met with various team members to gain clarity on the project itself and the process. Work sessions with the client’s Subject Matter Experts identified the tasks and how to do them. Throughout the process, we discovered that multiple versions and variations of spreadsheets and unclear tools existed. We added additional work sessions with SME’s to discern and confirm what spreadsheets and tools were needed moving forward with this discovery.
The Result
Success Trek delivered a detailed set of workflows and work instructions to help the team with the short-term project. The clarity provided resulted in improved business operations through the client’s ability to ramp up quickly to meet deadlines. Workflows and work instructions Strengthened the Workflow Process, creating efficiencies and better communication among stakeholders. Once the project concludes, the workflow and work instructions will guide the resolution of questions, and the framework will support future short-term projects.
